Authentication

To connect with Cove Data Protection in Reconcile, you’ll need:

  • Organization Domain: Refers to the Customer Name in the Backup Manager; include the full string and any special characters as shown in the "Reseller" account name field.

  • Username and Password: Valid username and password for your Cove Data Protection account, with the username matching the email used for Backup Manager login or displayed in your User Profile.

Note: We recommend creating a dedicated API Only user within the Cove Data Protection Backup Manager for authentication purposes. 


Connect Cove Data Protection

  1. Login to Gradient.
  2. Navigate to the Integrations tab.
  3. Select the Cove Data Protection integration and click Connect.
  4. Enter the Organization DomainUsername and Password retrieved from the previous steps.
  5. Click Authenticate.
  6. Once successfully authenticated, accounts and services will be generated, and the integration will be updated to a pending status. You can click the status refresh button or simply refresh your browser if you are unable to proceed to the next step.

Map Accounts and Services

  1. Map Accounts and Services

    • When setting up the integration for the first time, accounts are automatically matched if there's an exact match between your vendor and PSA.
    • For accounts not automatically matched:
      • Use the filter button beside the account names on the right, or
      • Use the search bar on the left to find PSA accounts.
    • Drag and drop the PSA accounts from the left to match them with vendor accounts on the right.
  2. Proceed to Service Mapping

    • Once accounts are mapped, click "Next" to access the Service Mapping step.
    • Align services or products from your PSA, displayed on the left, with the corresponding vendor services or SKUs on the right. For ConnectWise PSA users, search by Product ID.
    • Ensure at least one account and one service mapping is completed to finish the configuration.
    • After mapping the services, click "Next".
  3. Finalize Configuration

    • Review your service configurations and click "Finish" to complete the setup.
    • This will initiate a sync. The "Sync Status" indicator at the top-right will start spinning, showing that a sync is in progress.
    • Once the sync is complete, the "Refresh" button will light up pink, indicating the sync is complete. Click that button to see the vendor usage data populated.
    • Use the filter or sort options to jump to the connected services and start reviewing and approving usage!

Calculations

The calculations for various services are derived from the management console column codes accessed through the Cove Data Protection JSON-RPC API. These column codes provide essential data for determining the status and quantity of protected workloads within your environment.

Services

The integration between Cove Data Protection and Synthesize is designed to synchronize services exclusively from Cove Data Protection backup manager. Within Synthesize, this integration generates the following services to aid in mapping and reconciling with your PSA's services or products, tailored to your billing needs:

Microsoft 365 Users

Count of protected user accounts in Microsoft 365 (TM).

Recovery Test Count of recovery tests performed (I80).
Stand By Image
Count of standby images performed (I80).
Physical Servers Count of devices with OS type (OT) indicating a server and labeled as 'Physical' in the Physicality column (I81).
Virtual Servers Count of devices with OS type (OT) indicating a server and labeled as 'Virtual' in the Physicality column (I81).
Total Servers Sum of counts of physical servers and virtual servers.
Virtual Workstations Count of devices with OS type (OT) indicating a workstation and labeled as 'Virtual' in the Physicality column (I81).
Physical Workstations Count of devices with OS type (OT) indicating a workstation and labeled as 'Physical' in the Physicality column (I81).
Total Workstations Sum of counts of physical workstations and virtual workstations.
Documents

Sum of devices where the protected data is categorized as "Documents" under the Product (PN) column.


Validating Counts in Cove Data Protection Backup Manager

If you need to verify counts, you can easily do so by accessing the Backup Manager. Simply log in and navigate to the Backup Dashboard using the side navigation. From there, you have the option to select "All Devices" to query services across all devices or "Microsoft 365 backups" to query the "Total Microsoft 365 protected regular accounts" column code (TM).

For instance, if you need to confirm counts related to "Documents," you can filter "All Devices" by the "Product" column code (PM). This is just one example of how we determine service counts using column codes. You can then filter by "Customer" from the dropdown menu.


Limitations

This integration is best suited for Cove Data Protection partners enrolled in the Data Protection Plan (DPP) with unlimited storage or those interested in monitoring total protected workloads. Currently, calculating storage data overages via the Cove Data Protection API is not feasible. While this limitation is known, there are intentions to introduce support for storage data overages in the future.


N-able N-Central Integrated Instances of Cove Data Protection

We extend support for both standalone and integrated instances of Cove Data Protection. If you're utilizing an integrated instance with N-able N-central, it's required to contact Cove Data Protection support to acquire an API Read Only user. The provided username and password will be utilized for authentication and connection purposes with the Cove Data Protection integration in Synthesize.

Please note that for integrated instances of Cove Data Protection, accounts are currently created based on the N-central identifier (e.g., 127 - 218442814018421). While we acknowledge this may not be the best user experience, we are committed to enhancing the account creation process for integrated instances in future updates of this integration. In the interim, it's recommended to reach out to Cove Data Protection support to obtain a list of accounts to assist in account mapping when configuring the integration in Synthesize.
