How to Connect INKY

To configure and connect the INKY integration, please click to navigate to the following:

    1. Connect the Integration
    2. Map Account and Services 
    3. Troubleshooting

    Connect the Integration

    1. Login to Reconcile and navigate to the Integrations tab.
    2. Select the INKY Integration card, and click Connect.
    3. Copy the Gradient API Key:

      • Each integration is assigned a unique API Key.
      • Save this key in a secure location—it will only be available once.
    4. Select Open Vendor Portal, this will open a new tab on the INKY site.
    5. Login to INKY and navigate to Account Management.
    6. In the Select team dropdown, choose Company Name – All Teams.
    7. Select PSA Integration, paste your Gradient API Key, then click Validate and Save Now.
    8. Return to Reconcile and select Check Connection.
    9. Proceed to account and service mapping.
    10. Return to INKY and click Sync Data Now. This combines your data and initiates the auto-sync feature.
      1. Enable the checkbox for Automatically Sync Data to Gradient to schedule a nightly sync that keeps your connection current.

    1. Map Accounts and Services

      • When setting up the integration for the first time, accounts are automatically matched if there's an exact match between your vendor and PSA.
      • For accounts not automatically matched:
        • Use the filter button beside the account names on the right, or
        • Use the search bar on the left to find PSA accounts.
      • Drag and drop the PSA accounts from the left to match them with vendor accounts on the right.
    2. Proceed to Service Mapping

      • Once accounts are mapped, click "Next" to access the Service Mapping step.
      • Align services or products from your PSA, displayed on the left, with the corresponding vendor services or SKUs on the right. For ConnectWise PSA users, search by Product ID.
      • Ensure at least one account and one service mapping is completed to finish the configuration.
      • After mapping the services, click "Next".
    3. Finalize Configuration

      • Review your service configurations and click "Finish" to complete the setup.
      • This will initiate a sync. The "Sync Status" indicator at the top-right will start spinning, showing that a sync is in progress.
      • Once the sync is complete, the "Refresh" button will light up pink, indicating the sync is complete. Click that button to see the vendor usage data populated.
      • Use the filter or sort options to jump to the connected services and start reviewing and approving usage!

    When you click Sync Data Now, you’ll see messages describing the status of what’s being synced. Below are a few common examples:

    1. "no mapped service found with supplied Id, Success"

      • Indicates the INKY Phish Fence service has not been mapped.
      • The rest of the sync still completes, importing usage for all mapped services.
    2. "Unable to get active users from mail provider"

      • Means the account does not have API Access to Microsoft.
      • To resolve this, visit API Access Settings to enable access for the correct team.
